The UU Church of Annapolis is seeking an experienced Congregational Administrator to manage the day-to-day financial and administrative operations of the church. The ideal candidate will have relevant work experience with a church or religious organization and have at least 3 years of experience using church management software and managing business operations, as well as some understanding of human resources. Job Description

Congregational Administration

In collaboration with the ministers, the Congregational Administrator manages the administrative matters of the congregation with a high degree of independence and fiscal responsibility. They advise the ministers on matters at both the strategic and operational levels including the operational budget. They are typically empowered to sign contracts, negotiate insurance programs and develop financial plans.  Typically this position requires a significant understanding of church systems.  Often this person has a degree or other formal training in business administration.

Job Responsibilities

  1. Financial Planning and Bookkeeping
  2. The CA provides financial management of the Organization and is responsible for the day-to-day bookkeeping tasks; which will be completed directly by this position-holder or through support staff, contractors and volunteers. This includes but is not limited to:

    • Managing income, cash flow, and expenditures.
    • Monitoring budgets and providing reports to staff with budget responsibilities.
    • Collating, preparing, and interpreting reports, budgets, accounts, and financial statements.
    • Attending Financial Committee meetings as requested by the supervisor
    • Managing activities and duties associated with accounts payable including interacting with staff and vendors, processing invoices, expense coding, and data entry.
    • Performing activities and duties associated with bi-weekly payroll, including data entry to automated Payroll Company
    • Managing financial reviews and audit processes.
    • Preparing, submitting and maintaining all tax, and required government forms.
    • Partnering with the ministry team to cultivate a culture of generosity through giving
  3. Human Resources
  4. The CA will work with the ministers to manage and ensure that necessary human resources processes are in place for the organization. This includes but is not limited to:

    • Maintaining accurate and secure records of employee participation in insurance and pension plans, and personnel data such as hires, promotions, transfers, performance reviews and terminations, salary changes, etc.
    • Maintaining all personnel records per ADA, EEOC, HIPAA, and USCIS requirements as well as ensuring personnel files are complete and current.
    • Identifying legal requirements and government reporting regulations affecting human resources functions and ensuring policies, procedures, and reporting are in compliance and informing Ministers appropriately.
    • Providing all necessary documentation for new employees.
    • Ensuring all policies and procedures are in compliance with government laws and that they are enforced consistently.
    • Assisting with creation and maintenance of accurate job descriptions, organization charts, records of performance reviews, and employee handbook.
    • Administering compensation and benefits, communicating healthcare and benefits information in compliance with IRS, ERISA, COBRA, HIPAA, etc.
    • Conducting new hire orientation.
    • Along with ministers, establishing and coordinating professional development opportunities
    • Identifying and communicating situations that impact employee safety, welfare or wellness.
  5. Other Daily Office Administration Duties
    • Assisting in the maintenance of Church records and communicating with Church members regarding donations, giving records and other requests for information.
    • Managing and reporting, along with membership manager, on membership information
    • Utilizing computer programs for administrative systems and functions. Identifying new software and other programs that will improve organizational performance.
    • Implementing and monitoring office procedures and policies.
